How we use personal information

Privacy Notice

Upper Charminster Community Action Group (UCCAG) is a constituted resident-led community group in Bournemouth. We are responsible for personal information submitted to our website or sent directly to us. Email info@uccag.org.uk with any privacy question.

Newsletter and interest preferences

When you choose to join the UCCAG Community mailing list, we collect your first name, surname, email address, your optional selected interests, your subscription status and evidence of when and how you opted in. We use this information to send community newsletters, project news, local consultations and invitations relating to UCCAG activities. Our lawful basis for these emails is your consent. Interests help us tailor relevant emails; you still receive general news if you do not choose any.

Ticking the newsletter box is optional until you choose to submit the sign-up form. We use single opt-in, so we do not require a second email confirmation. Every mailing includes an unsubscribe option. You can also contact us to correct details, withdraw consent or ask us to remove your data.

General enquiries

If you email us separately, we use your message and the contact details you provide to respond and manage your enquiry. We generally rely on our legitimate interests in responding to enquiries and supporting UCCAG's community work, where those interests are not overridden by your rights and freedoms. Different rules may apply to sensitive information. An enquiry does not subscribe you to marketing emails.

Please avoid including sensitive personal information, details of an identifiable third party or allegations of crime in newsletter forms. For crimes, emergencies or formal reports use the appropriate official reporting channels. If you contact UCCAG about such matters, access will be restricted to those who need to deal with your message.

Who receives information

UCCAG uses EmailOctopus to manage subscriber records and send emails, and its hosting provider to operate this website securely. A small number of authorised UCCAG administrators may access subscriber information for community communications. We do not sell subscriber information or share the list with councillors, police or businesses for their own marketing.

EmailOctopus and its service providers may process information outside the UK. You can contact us to request more information about our service providers and how international transfers of personal data are safeguarded.

Consent records and security

We keep a protected record of the date and source of each successful web subscription, the consent wording version and the chosen interests. For these records our website stores a keyed fingerprint of the email address instead of the address itself. The subscriber profile is kept within EmailOctopus. Access to newsletter information is limited to authorised UCCAG administrators.

How long we keep information

We keep active subscriber details while you remain subscribed. We retain only limited suppression and consent evidence as reasonably necessary to honour opt-outs and demonstrate compliance. We review inactive subscribers and remove information no longer needed. We keep general enquiries only as long as reasonably necessary to respond, manage follow-up and meet applicable legal obligations.

Your rights

You can ask to access, correct or erase personal information, object to processing where applicable, restrict its use, or withdraw newsletter consent at any time. Contact info@uccag.org.uk. You can also complain to the Information Commissioner's Office.

Cookies and technical information

Our website does not use advertising cookies, analytics tags, social tracking pixels or embedded third-party mailing widgets. Our self-hosted signup form communicates with EmailOctopus from the server. The web host may retain necessary technical access and security logs, including an IP address and request details, for website operation and protection. See our Cookies & Technology Notice.
